How to Calculate Time Card Hours by Hand

A reliable pen-and-paper method for adding up a week of clock-in and clock-out times, with breaks and overtime.

Updated 2026-10-20

Sometimes the spreadsheet is on another computer and you need an answer now. Adding time by hand is easy once you stop treating minutes like decimals.

Step 1: Convert to 24-hour time

Any PM time except 12 PM: add 12. 4:45 PM → 16:45. 12:30 AM → 0:30.

Step 2: Subtract in minutes

Convert each time to minutes since midnight (hours × 60 + minutes), subtract, and if the result is negative add 1440 (a day).

In 8:15 → 495. Out 16:45 → 1005. 1005 − 495 = 510 minutes.

Step 3: Subtract unpaid breaks

510 − 30 = 480 minutes.

Step 4: Back to hours and minutes

Divide by 60: 480 ÷ 60 = 8 remainder 0 → 8:00. For 515 minutes: 8 remainder 35 → 8:35.

Step 5: Add the days

Add all the minutes first, then convert once. Five days of 515 minutes = 2575 minutes = 42 hours 55 minutes. Adding 8:35 five times as if it were 8.35 gives 41.75, which is wrong.

Step 6: Decimal hours

Minutes ÷ 60. 55 ÷ 60 = 0.9167, so 42:55 = 42.92 hours.

Step 7: Overtime

Federal: hours over 40 in the work week. 42.92 − 40 = 2.92 overtime hours. California: first check each day for hours over 8 (and 12), then test the remaining regular hours against 40.

The shortcut for the same shift every day

If every day is identical, compute one day and multiply the minutes. Five days × 480 minutes = 2400 = exactly 40 hours.

Common slips

  • Treating 8:30 as 8.3 instead of 8.5.
  • Forgetting to add 12 to PM times.
  • Subtracting the break twice when the clock already excludes it.
  • Carrying wrongly: 59 + 5 minutes is 1:04, not 0:64.

When there are more than a few days, the Time Card Calculator does all of this and shows its work.

A full week, worked through

DayInOutBreakMinutes
Mon8:02 AM4:35 PM30993 − 482 − 30 = 481
Tue7:58 AM5:10 PM451030 − 478 − 45 = 507
Wed8:00 AM4:30 PM30990 − 480 − 30 = 480
Thu9:15 AM6:50 PM301130 − 555 − 30 = 545
Fri10:00 PM6:00 AM0(360 − 1320 + 1440) = 480
Total2493

2493 ÷ 60 = 41 remainder 33, so 41:33, or 41.55 hours. Federal overtime: 1:33, or 1.55 hours. Regular: 40 hours.

At $17.00 an hour: regular 40 × $17 = $680.00; overtime 93 minutes × $17 × 1.5 ÷ 60 = $39.53; gross $719.53.

With rounding

If the employer rounds to the nearest quarter hour, round each punch before subtracting. Monday: 8:02 → 8:00, 4:35 → 4:30, giving 8:30 minus 30 minutes = 8:00 instead of 8:01. Rounding the daily total (8:01 → 8:00) happens to give the same answer here, but it is not the lawful method and can differ by a quarter hour on other days.

Checking against the time clock printout

Most time clocks print decimal hours. Convert your H:MM total: 41:33 → 41 + 33 ÷ 60 = 41.55. If the printout says 41.50, a punch was rounded or a break was deducted automatically; ask for the punch detail.

Keeping your own record

A notebook entry per day with in, out and break is admissible evidence in a wage dispute and the employer’s records are presumed inaccurate if they are missing. Write the times as you clock, not from memory at the end of the week, and total the week every Friday using the steps above so discrepancies are caught while they are small.

Frequently asked

How do I handle a 12:00 PM punch? Noon is 12:00 in 24-hour time, or 720 minutes. Do not add 12 to it. Midnight is 0 (or 1440 as an out time).

What if I forgot to clock out? The employer must pay for the time actually worked. Note the real time, tell the supervisor, and have it corrected; a missing punch is not a reason to pay nothing.

How do I add 8:45 and 7:50? Add minutes: 45 + 50 = 95, which is 1 hour 35. Add hours: 8 + 7 + 1 = 16. Result 16:35.
